Defining an assignee group

You can define an assignee group from the Manage Assignee Groups window. To display this window, click Manage Assignee Groups on the toolbar.

You can also define an assignee group based on selected assignees entered into your query.

You can define up to 1000 groups. Each group can contain up to 2000 assignees.

To define a new assignee group

  1. In the Manage Assignee Groups window, click New Group.
  2. In the Find assignee field of the New Group dialog box, type a search string to retrieve a list of assignee names.
  3. Choose the type of search:
    • Treat query as an abbreviation. Choose this option to search the Assignee Abbreviations database, which contains company names that are mapped to their popular abbreviations. Well-known abbreviations of large companies are recognized.
      Example: HP (for Hewlett-Packard).
    • Keyword search. Choose this option to match any whole word exactly to any whole word in the assignee name.
      Example: Entering motors or ford motors or ford co all retrieve Ford Motors Co. However, motor does not retrieve Ford Motors Co.
    • Select the Begins with check box to retrieve the names that begin with your search string.
      Example: fo mo retrieves Ford Motors Co.
  1. Click Find.

An alphabetical list of assignee names is generated from the Assignee database, based on your search criteria. You might need to use the scroll bar to view the entire list.

  1. From the list that is generated by your search, select one or more assignees to add to your assignee group.

    • To select a contiguous block of assignees, click the first, hold down the Shift key, and click the last.
    • To select several nonadjacent assignees, hold down the Ctrl key while clicking each one.
  2. Click Add to move the selected assignees to the assignee group list at the right.
  3. (Optional) To add more assignees to your assignee group, repeat steps 2–6.

To remove any assignees from the assignee group list, select one or more assignees in the assignee group list (as described in step 5), and then click Remove. The assignees are moved to the list at the left.

  1. In the Group field, type a name for the assignee group.

Avoid using the following characters in the assignee group name: < > % ( ). An assignee group name cannot be longer than 35 characters.

  1. Click Save.
